Writing Strong Sales Thank You’s

In the business world, thank you notes are written to thank people for interviews, meetings, sales, referrals, advice, project assistance, appreciation, encouragement, gifts and other acts of kindness. They are impactful follow-ups that are a proven way to earn customer loyalty. Thank you notes don’t have to be elaborate or written on pricey letterpress paper, they simply need to be genuine and prompt. You can keep your thank you notes simple with two or three sentences sent electronically or by mail.

Thank you notes keep a line of communication open between you, your prospect and your customer, while keeping your name in their mind. Developing a regular thank you note habit is one of the most effective ways to improve your sales process. You can save time in your writing by drafting templates that will fit a number of different scenarios:


After Setting an Appointment Over the Phone

Thank you for speaking with me today. I look forward to our meeting next [day] at [time] and promise to take only [X] minutes of your time. As mentioned, I have attached ____________ for you to review before we meet.


After a Meeting

Thank you so much for meeting with me today. I really enjoyed our conversation and learning more about what you do at [Company Name]. Here’s a quick recap of what we talked about and what the next steps will be.


After an Appointment When the Prospect Decided to Buy

Thank you for giving me the opportunity to discuss your upcoming needs. We would be honored to serve [Company Name] now and in the future. We believe that [company value], blended with [another company value], is the foundation for building a successful business partnership.


After Receiving a Referral

Thank you for your kind referral of [Name]. You may rest assured that anyone you refer will receive the highest quality of service possible.


After Closing the Sale

Thank you for giving us the opportunity to offer you our finest service. We are confident that you’ll be happy with your [product/service]. Please let me know if you have any other questions and welcome to the [Company Name] family!


After the Prospect Says They’re Not Interested

Thank you for taking the time to consider [Company Name]. I regret that we were not able to meet your current needs. Please feel free to call me if your situation should change or if you have any questions.


After a Current Client Buys a New Product or Service

Thank you for giving me the opportunity to once again serve you! I trust that we have continued to meet your standards for an exceptional service. Should you have any questions, please contact me immediately so I can assist you.


On Their Anniversary

Congratulations on a great year and thank you for entrusting us with your [product/service category]. Your partnership is greatly appreciated! We look forward to many more years of success. Happy Anniversary from the team at [Company Name]!
